Why Asana Project Templates Are a Game-Changer for Teams

Project templates in Asana is something I discuss more and more with clients. That’s one of the most under-rated feature, but also a “mindset” to acquire. When I say mindset, what I mean is that the feature itself is great, but you need to be convinced first by its power.

Unloading your team’s experience and knowledge into a template is the only way to stay efficient, make everyone’s life easier and dedicate your
energy to more important things.

🤝 Our Asana Onboarding template is amazing

One of the things I’m most proud of in our Asana space is our Asana onboarding template.

This is something we created a while back. We don’t hire that many people— maybe one or two a year—but I think this is one of the things that’s had the biggest impact, both in terms of time saved and in terms of well-being and peace of mind for the new hire.

There are actually two major benefits to having an onboarding template.

1. It Helps the Existing Team

They know exactly what to do, when to do it, and they don’t forget anything. It’s a really great way to streamline the onboarding process.

2. It Helps the New Hire

When someone joins the company, they have a very clear list of what’s expected from them. And there’s a lot of stuff to do—admin tasks, HR processes, logging into tools, watching videos… it’s a whole list. You don’t want them to feel confused or overwhelmed.

Constantly Improving

Using a template means you can give them a clean list of things to do, with actual due dates. Some tasks need to be done on day one, but others can be spread across the first week or even the first month. It really changes everything.

What’s amazing is that every single time we onboard a new person, we realize the template isn’t perfect. So we add new tasks. We realize internal processes have changed, so we update the template. We notice some tasks aren’t detailed enough, or that some steps were missing. And we just keep making it better.

The result? When someone joins, it’s a really smooth and thoughtful experience. Our latest hire actually told us she had an amazing onboarding. She felt at ease and at peace. There’s already so much to worry about when starting a new job. If onboarding isn’t one of those worries, that’s a big win.

So yes, the onboarding template is definitely something every single company should have.

🧙 Asana geek riddle

Want to think like an Asana consultant for a second?

🎙 “I’m only using Asana because my boss wants me to. They want to know what I’m working on.”

🤔🤨🧐

🎓 Doing something just to please your boss isn’t ideal. Asana isn’t just “another tool” you have to update. If that’s your mindset, it’s going to feel like a burden.

But if you embrace it, Asana becomes your best friend. It helps unburden your mind, remove overwhelm, and streamline your workday. Yes, there are tasks, an Inbox, Teams—but used well, they work together in your favor.

🎙 My opinion on…

…the cost of a work management solution.

Asana costs between 10$ and 50$ per month per user depending on the tier and how you negotiate. Is it worth it? Well, it depends. How much time does it save? How peaceful can your team become thanks to a tool acting as a second brain, and streamlining collaboration? If you see Asana as “another tool” (see above), this is a very costly solution indeed. If your team is stuck, can’t get anything done anymore, and you are ashamed of the way you work, it seems like a pretty cheap solution to an important problem…
